VAT-registered car valeting in Chesterfield: who benefits and why

What being VAT registered means in practice

Washy Luxe Limited is registered with HMRC for VAT. Day to day, that comes down to three things:

  • A proper VAT invoice. It shows the VAT number, the price before VAT and the VAT charged, which is what a VAT-registered customer needs to make a claim.
  • Prices that already include VAT. There's no VAT added on at the end. An Exterior Safe Wash & Protect is £72 and a Full Valet is from £154, and those prices include VAT.
  • Proper records. A VAT-registered limited company has to keep proper records, so if your accountant or fleet manager asks for paperwork, it's there.

Who can usually reclaim the VAT

The general rule is simple. If your business is VAT registered, the vehicle is used for the business, and the business pays for the work, you can usually reclaim the VAT on its repairs and maintenance. HMRC says this applies even if the vehicle also gets some private use. It's set out in HMRC's VAT Notice 700/64 on motoring expenses. Valeting a work vehicle is generally treated as part of looking after it, but it's worth confirming with your accountant how they handle it.

Don't confuse this with buying a car. If a car is available for private use, the VAT on buying it is usually blocked. The running costs are treated differently, which is why a valet can often be claimed when the car itself couldn't.

A couple of exceptions are worth knowing. If you're on the VAT Flat Rate Scheme, you usually can't reclaim VAT on day-to-day costs like this. And if you're a sole trader whose vehicle is only used for private motoring, there's nothing to reclaim.

Who benefits, and why

  • VAT-registered businesses, sole traders and limited companies. Vans, company pool cars and other work vehicles. If the business pays and is VAT registered, the VAT on the valet usually goes back on your VAT return.
  • Car dealerships and used-car traders. Prepping stock for the forecourt is a business cost. A VAT invoice per car keeps your books tidy, and the VAT is usually reclaimable.
  • Fleets, lease and hire companies. Regular valets across several vehicles add up. With VAT invoices, a VAT-registered operator can usually claim the VAT back, including on a valet before a business lease car goes back. My lease return guide covers what inspectors look at.
  • Driving instructors. Your car is your workplace, and learners spend hours in it. If you're VAT registered, the valet is usually claimable. I've written about why businesses polish and protect their work cars.
  • Taxi and private-hire drivers. Passengers notice a clean cabin straight away. If you're VAT registered, you can usually reclaim the VAT on keeping the car valeted.
  • Tradespeople with vans. A clean, liveried van is your advert on every street you park in. If you're VAT registered, the VAT on its valet is usually claimable.

If you're not VAT registered yourself, you can't reclaim VAT, but a proper invoice still helps keep your business records straight. Your accountant can tell you how to treat it.

Company car drivers: the honest answer

If you drive a company car and pay for a valet out of your own pocket, you can't reclaim the VAT. Only a VAT-registered business can claim, and HMRC's rule is that the business has to pay for the work.

If your employer is VAT registered and agrees to cover it, they can usually reclaim the VAT. The simplest way is for your employer or fleet manager to book and pay directly, with the invoice in the company's name.

Private customers: what it means for you

You can't reclaim VAT as a private customer, and you don't need to think about it. My prices include VAT, so VAT is never added on top of the price you book.

What VAT registration does tell you is that you're dealing with a proper business. Washy Luxe Limited is a limited company registered at Companies House (company number 17304571) and registered with HMRC for VAT. That means proper invoices, proper records, and someone accountable for the work.
